Club Business Meeting
Minutes
for November 12, 2011

Meeting called to order by President,
Calvin Emerson (KC5ARC) at 9:07am.
·
The Pledge of Allegiance was observed
·
Self-Introductions were made. There were 2 officers and 10 members present.
·
Minutes were read and copies provided
for officers. Motion made by Larry (KC5EQM)
and 2nd by Kathy to accept minutes as presented. Motion passed by
show of hands.
·
Treasurer’s report –
o
Last month’s $1788.76 balance was
changed by a withdrawal of $74.56 for reimbursement to Calvin (KC5ARC) for picnic
meat for a balance of $1714.20 in the club account.
o
Motion made to accept treasurer’s
report as given at meeting by Ken (WB5Y) and 2nd by Red (W5UW). Motion passed by show of hands.
o
The secretary and president have not
yet managed to get together with vice president (John, KD5NAQ) for 2nd
signer on the club account
o
Sinking fund – current balance is $885.50
(which is included in the above $1714.20 balance making $828.70 actually
available).

Old Business
o
Dues
§ Frances
has been accepting dues and will continue through December. Any current member who has not paid dues by
end of December will be rolled off the membership roster
§ We
have had some contact with a ham who is interested in joining and is in need of
aid in setting up his station and mobile
o
Picnic
§ Calvin
has been reimbursed for the Fall picnic meats
§ Suggestions
continue for trying to set up our Fall picnic to
coincide with the Route 66 events. Check
with TARC for possible coordination opportunities for 2012
o
Repeater update –
§ No
repeater report though Calvin indicated he still wants to set up an electronic
link between the 2m and 440 repeaters.
It would not be permanently linked but will be engaged and disengaged
using codes and all members would be provided the crosslink code.
o
Recipe book
§ Frances
has the recipes all set up in a document and nearly ready for printing/binding.
§ In
its current set up of 8 ˝ by 11 pages, the books will be 50 pages with a cover
page. Frances has been doing research
into costs for 25 books. The best found
is about $5.00 per book and the worst is about $15.50 per book. Suggestions to check places like Office Depot
and Staples to get estimates were made
§ Concern
was indicated that 25 copies may be too few especially given that the best
estimates are for 1st time customers only and have a discount that wouldn’t
be available for subsequent orders.
§ Motion
made by Coralee (KE5LJF) and 2nd by John
(AE5HQ) to initially have 50 copies printed with idea of keeping cost in the
neighborhood of Mimeo.com estimate of $4.60 per book for 25.
§ We
would be selling the books for $10.00 as long as we are able to keep the cost
near $5 per book.
§ Online
estimates from Smartpress.com, Docucopies.com, Dazzleprinting.com (worst cost)
and Mimeo.com (best estimate) may or may not include 1st time
customer discounts or UPS shipping costs.

§ The
November siren test did not occur, reason is unknown.
o
New Class
§ Calvin
has not yet made contact with Jay (AD5PE - ARRL Rogers County Emergency
Coordinator) about the possibility of teaching classes for us and if willing. He also asked if anyone present would be
willing and/or able to help teach any of the classes. Estimate would be a weekly class of 2 hours
for about 2 months or so.

GCHF
§ John
(KD5NAQ) was not present to provide an update so Calvin and Frances (who
attended the last meeting) provided some highlights
§ Table
deal with the Expo has been made. GCHF
will purchase new tables and allow Expo to store and use as needed with
understanding (contract signed) GCHF would have use of tables as needed and
Expo would be responsible for set up and tear down of the tables for no fee to
GCHF
§ Testing
sessions will likely be held in the Women’s Building (across the parking lot
from the Expo) as the entire building has been reserved for March 9 and
10. With that in mind, we need to
determine how best to see testers are taken to the building timely. Some thought an announcement of where and when
to be outside the front doors if they need a ride to the other building. Others thought perhaps another cart might be
ideal. Additionally, putting a “blurb”
on GCHF website (and RCWA.org) on where to be for those who come in to test
THEN go to the hamfest.

Net coordinator.
§ We
are still in need of someone willing to take over the net coordination. Larry and Larry (KC5UOQ and KC5EQM) are
currently handling.

December 10 is next meeting

AFTER THE MEETING – Begin planning
for a Christmas pot-luck at the hangar of Coralee and
Ken Duncan (same place as last year). No
plans or date have been provided as yet.
That information will come separately by email addressed to our
membership.
